  • Authorised Absence Systems

    Authorised Absence Systems

A simple yet effective system for recording pupils who are authorised to be absent from school during the day whilst at the same time issuing them with an authorised absence pass.

The authorised absence system enables a school to record all pupils who are temporarily absent from school during the day. Each pupil leaving the school is issued with an absence pass, proving that they have permission to be out of school if challenged by a person of authority. The absence register provides a complete list of all pupils who are/have been absent, including the reasons why.

As each pupil needs to leave the premises, they report to the point where the system is held in the school and hand in any documentation proving their reasons for needing to leave e.g. medical appointment card. The pupil’s details, reason for their temporary absence and an authorising signature are recorded on the absence pass as well as an expected return time.

At the same time as completing this pass, the absence register is automatically updated. This ensures that the school office has an up-to-date register of all pupils who are temporarily absent which is especially useful during emergency evacuations.

  • Latecomers System

    Latecomers System

The latecomers registration system enables a school to record all pupils who arrive late for school. Each late pupil is issued with a latecomers pass, proving that they’ve been recorded as late but also acting as a classroom pass that must be signed by the teacher. The latecomers register provides a complete list of all pupils who have arrived late for school, including the reasons why.

As each pupil arrives late for school they report to the point where the system is held, more often than not, the school office. The pupil’s details, together with the reason for their late arrival is recorded on the latecomers pass.

At the same time as completing this pass, the latecomers register is automatically updated. This ensures that the school office has an up-to-date register of all late arriving pupils. This helps to highlight pupils persistently arriving late which may require further investigation.

The pass is issued to the pupil who must get it signed by the teacher. This helps to ensure that once they have been recorded as late, they remain in school.

The pass is handed to the pupil’s parent at the end of the day. The register can be used to update any computerised registration systems.

  • Medicine Administration

    Medicine Administration

The Medicine Administration System can help your school implement best practices for recording when medication has been given to pupils during the school day.

The system allows a school to keep a record of all medicines taken by pupils whether self-administered or administered by staff. The slip is provided to the parent/guardian as confirmation of what medicine was administered, when, in what dosage, by whom etc. The register provides a permanent record for the school of all medicines administered to all pupils.

The medicine slip is completed as each pupil either self-administers medicine or it is administered by a staff member. The details on the slip automatically copy through to the register as the slip is completed. The register not only provides useful analysis but also provides vital information that may be required at a later date.

The medicine slip can either be placed in the pupil's bag, diary, or be handed to the parent/guardian when they are collected from school. This ensures that parents/guardians are fully informed of medicine administered and any problems arising, meaning they can then seek further information from the school if desired.

Each register consists of 12 slips. An optional form for Parental Agreement for School to Administer Medicine is also available with the system. The system is fully customisable to suit individual schools' needs.

  • Incident Reporting

    Incident Reporting

The School Incident Register system allows a school to make a record of all incidents occurring to pupils throughout the school day, however insignificant. The incident slip generated is provided to the parent/guardian, keeping them fully informed of incidents, locations, witnesses, treatment etc. The incident register provides a chronological list of all incidents throughout the school, providing useful analysis and statistics.

When an incident occurs, the incident slip is completed with details of the incident.

As this slip is completed, the entry in the incident report form register is automatically created. This provides an accurate record of all incidents throughout the school such as common incident locations, names of children who often appear on the register, children suffering from recurring incidents etc. The register not only provides useful analysis but also provides vital information should an incident be investigated at a later date.

The incident report form slip can either be passed to the parent/guardian when the child is collected from the school or can be passed to the child who will hand this to the parent/guardian when they arrive home. This ensures that parents/guardians are fully informed of all incidents relating to their children and can then seek further information from the school or a medical check-up if desired.

The top slip can be torn off and returned directly to the parents/guardians when the child is collected, or placed inside the child's school bag. A permanent copy remains in the book and can be used to provide evidence when applying for SEN support or to highlight behavioural patterns.
